INDIEFEST Vendor Agreement & Guidelines

We ensure every detail is covered so you don't miss any information. In case you haven't read the vendor guidelines, we're providing them here for easy access. You needed to accept the terms to buy a booth, but we want to make sure you can easily refer back to the information.



1. Booth Specifications

  • Standard Booth Size: 10’ x 10’ (unless otherwise arranged in advance).

  • Food Trucks: Assigned spaces vary; dimensions must be confirmed before the event.

  • Placement: Booth location will be assigned by the event coordinator and is non-transferable.

2. Set-Up & Tear-Down

  • Set-Up Time: 8:00 AM – All vendors must be fully set up at least 30 minutes before gates open.

  • Tear-Down Time: Begins after the official event closing time. Early tear-down is prohibited unless approved.

  • Vendors must bring their own display tables, chairs, and booth coverings.

  • No vehicles are permitted in the vendor area during festival hours, except approved food trucks in their designated locations.

3. Permits & Compliance

  • Vendors are responsible for securing all necessary permits and licenses.

  • Food vendors must comply with local health codes and be prepared for inspection.

  • Vendors must follow fire and safety regulations, including required extinguishers for cooking equipment.

4. Product Restrictions

  • Only approved products/services may be sold.

  • No counterfeit, illegal, or trademark-infringing merchandise.

  • No alcohol, tobacco, weapons, or drug paraphernalia unless approved.

  • Food vendors must clearly disclose allergens.

5. Signage & Displays

  • Signage must be professional and within your space.

  • No flashing lights, loud audio, or disruptive elements without approval.

  • Displays must not block walkways or neighboring booths.

6. Payment Methods

  • Vendors may accept any form of payment but must provide their own systems.

  • INDIEFEST does not provide internet access—plan accordingly.

7. Electricity & Utilities

  • Electricity available only if requested and paid in advance.

  • Generators must be quiet and approved.

  • Vendors must bring their own extension cords/power strips.

8. Clean-Up & Trash Disposal

  • Vendors must keep their area clean during the event.

  • All trash must be removed before departure.

  • Failure may result in a clean-up fee or denial from future events.

9. Security & Liability

  • Vendors are responsible for their own merchandise and equipment.

  • INDIEFEST is not responsible for loss, theft, or damage.

  • Vendors must carry their own liability insurance and list INDIEFEST & Michigan Central as additional insured.

10. Special Requirements for Food Vendors

  • Must have health department permits on-site.

  • Must have fire extinguishers per city code.

  • Must follow all food safety protocols.

  • Greywater/grease disposal must follow regulations—no dumping.

11. Code of Conduct

  • Treat all attendees, staff, and fellow vendors with respect.

  • Disruptive or unprofessional behavior may result in removal without refund.

12. Refunds & Cancellations

  • All sales are final—no refunds.

  • Event proceeds rain or shine unless deemed unsafe by organizers.
