By purchasing this package and securing a vendor spot at INDIEFEST, you acknowledge and agree to the following terms:

All sales are final. Vendor fees are non-refundable under any circumstances, including but not limited to cancellation by the vendor, weather-related interruptions, or changes in event programming.

Spaces are limited and will be confirmed only upon receipt of full payment.

Event participation is at your own risk. The festival and its affiliates are not responsible for loss, theft, damage, or injury incurred before, during, or after the event.

Vendors are required to comply with all local laws, including licensing, health, and safety regulations. Food vendors must have proper permits and insurance.

The festival reserves the right to approve or deny any vendor application at its discretion.

Set-up and breakdown times will be strictly enforced. Non-compliance may result in removal from the event without refund.

No refunds will be issued due to inclement weather, low traffic, or vendor dissatisfaction.

By purchasing this package, you agree to these terms in full and release the event organizers from any liability related to your participation.
Vendor Application & Permits

To vend at INDIEFEST, you must complete the vendor application process and obtain the required permits:

Before the Festival

Understand the Event: Research the festival's theme, target audience, typical attendance numbers, and previous vendor experiences.

Review the Vendor Agreement/Guidelines: Familiarize yourself with rules regarding booth size, set-up and tear-down times, product restrictions, signage, payment methods, and any special requirements for food vendors or other categories.

Ensure Compliance: Obtain any necessary permits, licenses, or certifications (e.g., food handler's permits, sales tax certificates, proof of insurance) required by the event organizers and local authorities.

Plan Your Booth:

Layout & Displays: Design an eye-catching and functional booth layout that maximizes visibility and accessibility for attendees.

Signage: Use clear, prominent signage with your business name, logo, website, social media info, and pricing.

Branding & Merchandising: Ensure your booth reflects your brand; consider branded bags, packaging, or promotional materials.

Weather Prep: Plan for potential weather changes by bringing necessary items like canopy weights, rain covers, and weather-appropriate clothing.

Logistics: Determine how you will transport merchandise and equipment to and from the festival, and plan for staffing needs.

On Festival Day

1. Set-Up & Tear-Down

Set-Up Time: 8:00 AM – 11:00. All Vehicles must be cleared from the festival grounds by 11:00am

Arrive Early: Give yourself ample time to unload, set up your booth, and finalize your display before the event begins.

Check-in & Location: Check in with the event coordinator upon arrival to receive your booth assignment and any last-minute updates.

Adhere to Guidelines: Follow all festival rules and regulations, including booth boundaries, noise restrictions, and any limitations on amplified music or solicitation.

Professional Conduct: Be present, friendly, approachable, and engaging with customers. Avoid distractions like excessive phone use or eating in your booth.

Offer a Positive Experience: Engage with attendees, demonstrate your products, provide samples, and offer incentives to encourage sales.

Handle Payments Efficiently: Be prepared to accept various payment methods, including cash and credit/debit cards.

Maintain Your Space: Keep your booth tidy and attractive throughout the event, disposing of trash and debris responsibly.

Stay the Course: Remain open and staffed for the entire duration of the festival unless otherwise specified or approved by event organizers.

Network: Connect with other vendors to build relationships and create opportunities for future collaborations.

After the Festival

Clean Up: Pack up your merchandise and equipment, removing all trash and leaving your booth space clean.

Depart Respectfully: Follow event instructions for vehicle access and exiting the festival grounds, avoiding interference with other vendors.

Follow Up: Engage with customers by sending thank-you notes, offering special promotions, or collecting email addresses for future marketing.

Provide Feedback: Share your experience with the event organizer to help improve future festivals.
We ensure every detail is covered so you don't miss any information. In case you haven't read the vendor guidelines, we're providing them here for easy access. You needed to accept the terms to buy a booth, but we want to make sure you can easily refer back to the information.

Set-Up Time: 8:00 AM – 11:00 AM
Event Hours: 12:00 PM – 9:00 PM

1. Agreement

This agreement is made between INDIEFEST ("Organizer") and the undersigned Food Truck Vendor ("Vendor"). By signing this agreement, Vendor agrees to comply with all rules, guidelines, and requirements outlined herein.

2. Booth & Space Information

Space is designated for licensed food trucks only.

Food trucks must be self-contained and able to operate within their assigned footprint.

Assigned space will be communicated in advance.

No vehicles may enter or exit the festival area during event hours (except food trucks during set-up and tear-down as directed by the Organizer).

3. Fees & Payment

Fee: $500 flat rate (includes space only).

Payment is due in full at the time of application approval to reserve space.

All sales are final. No refunds.

4. Required Documentation

Vendors must provide copies of the following by August 15, 2025:

Valid City of Detroit Mobile Food Vendor License.

Valid Wayne County Health Department Food Service License.

Proof of Liability Insurance (minimum $1,000,000 coverage; INDIEFEST listed as additional insured).

Any required fire or propane permits.

5. Set-Up & Tear-Down

Set-Up: 8:00 AM – 11:00 AM.

Tear-Down: Begins at 9:00 PM after festival close.

Vendors must vacate the premises by 11:00 PM.

No early breakdown is permitted.

6. Operations & Compliance

All vendors must comply with City of Detroit Health Department regulations.

Trucks must be inspected and approved before opening for service.

All propane tanks and cooking equipment must meet fire safety standards.

Vendor is responsible for keeping their area clean and free of trash during and after the event.

Grease, gray water, and waste must be disposed of off-site in accordance with local regulations (no dumping on-site).

Vendors must provide their own quiet-run generators (if needed).

7. Prohibited Items

Alcohol sales unless pre-approved by Organizer and licensed.

Amplified music or generators louder than city ordinance allows.

Distribution of non-food items unless approved.

8. Indemnification

Vendor agrees to indemnify and hold harmless INDIEFEST, its organizers, sponsors, staff, volunteers, and the City of Detroit from any and all liability, claims, or damages arising from Vendor’s participation.

9. Termination

The Organizer reserves the right to remove any Vendor from the event for non-compliance with this agreement without refund.
